1. Scope
This policy describes how HENGLAN packs and ships UPS, voltage stabilizer, battery, and inverter orders. The quotation and the order confirmation state the Incoterm, the port, the packing, and the documents for the specific order. If they differ from this page, the order confirmation prevails.
2. Incoterms
- EXW — the buyer collects from the factory or the named warehouse.
- FOB — we deliver to the named port and load on board; the buyer arranges the main carriage.
- CIF — we arrange and pay the main carriage and insurance to the named destination port; the buyer handles import clearing and inland transport.
Duty, taxes, port charges, and clearing are the buyer’s responsibility unless a delivered term is agreed in writing.
3. Packing
Smaller units are packed in foam-lined cartons. Larger UPS and battery cabinets are packed in wooden cases with desiccant and shock indicators. The packing list states the dimensions, gross weight, HS code, and shipping marks. The packing is designed for container or air freight and normal handling; it is not designed for long-term outdoor storage.
If the site is humid or the equipment will be stored for months, tell us before production. We can add extra desiccant, VCI film, or a sealed barrier bag.
4. Lead time
Lead time depends on the model, the battery, the documentation, the OEM artwork, and the production queue. It is stated in the quotation and confirmed in the order confirmation. Custom and project orders take longer than standard units. The lead time starts from the later of the deposit, the approved drawings, and the approved artwork.
5. Shipping methods
- Sea freight — the usual method for UPS cabinets, battery cabinets, and palletised orders. Ports and transit times are confirmed per order.
- Air freight — used for urgent smaller units and spares. Air freight is more expensive per kilogram but shorter.
- Courier — used for documents, small spares, and samples.
6. Batteries and dangerous goods
VRLA blocks are classified as non-spillable but still require the correct packing declaration. Lithium modules require UN38.3 test summaries, MSDS, and the applicable packing instruction. The shipping documents must match the battery model and the state of charge. We do not ship damaged or unprotected lithium modules.
7. Inspection on delivery
Inspect the packing and the equipment before signing the delivery receipt. If the packing is damaged, photograph it and note the damage on the carrier’s document. Report any shortage or transit damage within the period stated in the order confirmation, and keep the packing for the carrier’s inspection.
8. Returns and warranty
Custom-configured UPS, AVR, and battery systems are built for the order and are not returnable for change of mind. Warranty claims are handled under the product-specific warranty terms in the order confirmation. Before returning a unit, contact us for a return authorisation and the shipping instructions. Do not return a battery without the dangerous-goods documents.
9. Storage on site
Store the equipment indoors, dry, and ventilated. Keep the battery at 20–25 °C where possible and recharge it every 3–6 months if it is not installed. Do not stack cabinets beyond the packing instructions. Do not remove the packing until the equipment is ready to be installed.
